Today, e-mail is the primary means of communication used either formally or informally. If e-mail is used for official business purposes, it should be managed and preserved as an official record of the institution for business reference and future proofs. Many many overseas universities and institutions have established and provided policies or guidelines for these. However, discussions about this topic rarely have been conducted by universities in Korea. In this study, the methods and procedures of the E-mail Management and Preservation Modules(EMPM) proposed in the InterPARES 3 project were reviewed and the application cases of foreign universities were investigated and analyzed in order to design the management guidelines for university email records. We also developed the guidelines for managing email records by trial applying the results to D University. The guidelines for managing email records consist of ten elements: law and guidelines, email security, types of email and handling methods, management methods, saving methods, preservation methods, attached files, naming conventions, retention and disposition and recommendations.
